Microsoft Dynamics 365 Sales
Microsoft Dynamics 365 Sales implementation that matches how you sell
Short answer
MS Dynamics Guys implements Microsoft Dynamics 365 Sales around the way your team sells. We design the lead and opportunity model, qualification steps and forecasts, set up security, connect Outlook and Teams, and migrate the customer data you need. Adoption is planned from the first workshop, because a sales system only works when sellers keep it current.
What a Microsoft Dynamics 365 Sales implementation covers
Microsoft Dynamics 365 Sales gives you the building blocks of a sales process. The implementation turns them into your process. A typical rollout covers these workstreams:
- Lead management: what counts as a lead, how leads are assigned, and what happens when one qualifies.
- Opportunities: sales stages, required information per stage, and the business process flow sellers follow.
- Accounts and contacts: one record per customer, duplicate detection, and ownership rules.
- Products, price lists and quotes, when your sellers quote from the system.
- Forecasts: the hierarchy, categories and rollups leadership reviews each week.
- Security: business units, security roles and teams that match regions and sales roles.
- Outlook and Teams: linking emails and meetings to records, and collaborating on deals.
- Data migration, training and adoption, planned as part of the project rather than at the end.
Design decisions to make early
These choices are cheap at the start and expensive to reverse after go-live.
| Decision | Typical options | What it affects |
|---|---|---|
| What is a lead? | Every inbound contact, or only screened prospects | Queue volume, the marketing handoff and conversion reporting |
| What happens when a lead qualifies? | Create the account, contact and opportunity automatically, or let sellers choose each record | Duplicate records and data quality from day one |
| How many sales processes? | One process for all sales, or separate processes per product line | Business process flows, forecast categories and reports |
| Who owns an account? | Individual sellers, teams or regions | Security roles, business units, sharing and territory reports |
| How is the forecast built? | Standard forecasts, or premium forecasting where licensed | License cost and the data history the forecast needs |
| Where do sellers work? | Sales Hub, Outlook, Teams or the mobile app | Training, App for Outlook deployment and Teams setup |
Forecasting: what Microsoft Dynamics 365 Sales can and cannot do
Standard forecasts roll up opportunity values through a hierarchy, such as managers and their teams or regions. They are only as reliable as the stages, values and close dates sellers maintain, so we set data rules for those fields before building the forecast.
Premium forecasting adds AI-based predictions from historical and pipeline data. Microsoft lists three conditions: a specific Microsoft Dynamics 365 Sales license, availability in your region, and more than ten closed opportunities with actual values and close dates. We usually set up standard forecasts first. Premium forecasting is worth evaluating once the history is clean enough to train on.
Outlook, Teams and Sales agent
Sellers spend their day in email and meetings, so the CRM has to meet them there:
- Microsoft Dynamics 365 App for Outlook links emails, meetings and appointments to accounts, contacts and opportunities without leaving Outlook.
- Microsoft Teams integration lets people view and work on Microsoft Dynamics 365 records inside a Teams chat or channel, and keeps files linked to the record.
- Sales agent brings CRM insights into Outlook and Teams through Microsoft 365 Copilot. It needs its own licensing and a Microsoft 365 administrator to install it, and it is not available for on-premises deployments.
We configure what your licenses include and test it with real records. We do not promise productivity gains from these tools: the result depends on data quality and on how sellers use them, which is what the adoption plan addresses.
Microsoft Dynamics 365 Sales scenarios and the boundary
| Scenario | What MS Dynamics Guys does | Boundary |
|---|---|---|
| Replacing Salesforce or another CRM | Maps objects, activities and automation into Sales and rehearses the data move; see Salesforce to Microsoft Dynamics 365 | Sales leadership decides which old processes to keep |
| Several divisions sell different products | Designs business units, security roles and separate sales processes | The organizational structure is your decision |
| Marketing passes leads to sales | Defines the handoff, qualification rules and duplicate checks | Customer Insights - Journeys setup is a separate project |
| Quotes need pricing rules and approvals | Configures products, price lists and the quote process, with code only where configuration cannot express a rule | A dedicated quoting product may fit complex configure-price-quote needs better |
| Sellers need stock and invoice data from Business Central | Sets up the standard Business Central integration through Dataverse and tests coupling, sync timing and ownership | Business Central configuration stays with its own owners |
| Leadership wants a forecast it can trust | Builds the forecast hierarchy and the data rules behind it, then evaluates premium forecasting | Accuracy depends on sellers updating stages, values and dates |
How a Sales rollout runs
The sequence below is specific to Sales. The general implementation model is on Microsoft Dynamics 365 implementation.
Workshops with leaders and sellers
We map how deals really move today, including the spreadsheets and side channels, and agree the target process in writing.
Design and build in development
Leads, opportunities, forecasts, security and email integration are configured in a development environment and packaged as a managed solution.
Data migration rehearsals
Accounts, contacts, open opportunities and recent activities are loaded into a test environment and checked against agreed counts and samples.
Testing with real sellers
Sellers run their daily tasks in the test environment. Their findings decide what changes before go-live.
Role-based training
Sellers, managers and administrators get separate sessions built on their own tasks and data.
Go-live and adoption review
After go-live we review which fields are filled and where sellers still work outside the system, then adjust the design.
Can MS Dynamics Guys fix a Microsoft Dynamics 365 Sales setup that sellers stopped using?
Yes, and the fix rarely starts with code. Sellers abandon a CRM for specific reasons, and a short review finds them. We look at which fields are filled, which views and reports managers actually use, and where deals are tracked outside the system. We also interview a few sellers and managers about their week.
Typical causes are too many required fields, stages that do not match real deals, duplicate accounts, missing Outlook links and security that hides records people need. Most are fixed with configuration and data clean-up. The review needs read access to production or a recent copy, and time with the people who sell. You receive the findings in writing with a prioritized list of changes.
When MS Dynamics Guys fits
MS Dynamics Guys fits sales organizations that have chosen Microsoft Dynamics 365 Sales, or already run it, and want the configuration, data and forecasts to match how they actually sell.
A good fit when
- You are rolling out Microsoft Dynamics 365 Sales or replacing another CRM.
- Sellers avoid the system and keep deals in spreadsheets.
- Sales needs data from Business Central or another ERP.
- You want design decisions documented for your own administrators.
Choose another route when
- You have not chosen a CRM yet. Start with Microsoft Dynamics 365 consulting.
- You need marketing automation only. Customer Insights - Journeys is a separate product.
- Your quoting is complex enough that a dedicated configure-price-quote product fits better.
- You only need licenses. A Microsoft licensing partner is the right contact.
Questions about Microsoft Dynamics 365 Sales implementation
How long does a Microsoft Dynamics 365 Sales implementation take?
It depends on the number of sales processes, the integrations and the data you bring across. We estimate after discovery, when those are known. Our implementation cost guide explains which factors move the budget and the timeline.
Do we need premium forecasting?
Not at the start. Standard forecasts cover most review meetings. Premium forecasting needs a specific Sales license, regional availability and a history of closed opportunities with real values. We evaluate it once that data exists.
Can our sellers keep working in Outlook?
Yes. The Microsoft Dynamics 365 App for Outlook lets them link emails and meetings to Microsoft Dynamics 365 records from Outlook on the desktop, web or mobile. Mailbox and deployment settings are agreed with your Microsoft 365 administrators.
What is Sales agent, and do we need it?
Sales agent is Microsoft's AI assistant for sellers in Outlook and Teams, working from your CRM data through Microsoft 365 Copilot. It is optional and licensed separately. Its usefulness depends on clean CRM data, so we look at it after the core process works.
Can you connect Sales to Business Central?
Yes. Business Central includes a standard integration with Microsoft Dynamics 365 Sales through Dataverse that couples items, prices, opportunities, sales orders and posted invoices. We confirm it covers your process before adding custom work, and we define which system owns each record.
Do you write custom code for Microsoft Dynamics 365 Sales?
Only where configuration cannot express a rule. Most Sales projects are configuration, data and training. When code is needed, it follows the approach on Microsoft Dynamics 365 CRM development.
Can we add specialists to our own team instead of buying a rollout?
Yes, if someone on your side can set priorities and accept the work. The specialists then join your team, and your sales operations lead stays in charge of the program.
A Microsoft Dynamics 365 Sales consultant works through your backlog: lead handling, sales stages, forecasts and access for sellers. If service teams share the same system, a CRM consultant can cover their processes too.
When a rule needs code, a CRM developer can join the same team to write and test it.
This model is staff augmentation: the specialists work under your direction, and the agreement covers onboarding, access and the exit.
